This policy explains what data Tiim collects, why, and what you can do about it. We have tried to keep it short and readable.

Tiim covers the mobile app, tiim.me and app.tiim.me, and the chat, calls, meetings, mail, calendar, contacts, Moments, Office and AI features inside them.

Read it together with the Tiim Terms of Use.

1. The short version

2. What we collect

Your account. Name, Tiim ID, a permanent internal identifier, avatar, phone number, email, password data, sign-in methods, account status and settings, recovery details, QR identifier.

Your Tiim ID can change. The internal identifier does not — it is what keeps your chats, contacts and files attached to you.

Sign-in and security. One-time codes, verification status, device information, passkeys, sessions, sign-in events, third-party sign-in identifiers (Google, Apple) if you use them.

Messages and calls. Messages, group messages, files, images, voice notes, reactions, who sent what and when, delivery and read status. For calls and meetings: participants, timing, connection quality, device and routing information.

Mail. Your @tiim.me address and any external mailbox you connect, plus the messages, attachments, headers, folders and the credentials needed to keep them in sync.

Moments. Photos, videos, text, captions, comments, likes, views, audience settings and archive.

Contacts. If you allow it, your address book — to find people you already know on Tiim.

Technical data. Device type, OS, app version, IP address, language, crashes, diagnostics, security events, which features you use.

3. Tiim AI — what it does and does not do

This is the part people ask about most, so we will be plain.

Tiim AI does not read your chats or mail on its own. It works only with what you hand it in a specific request — a message you forward to it, a letter you ask it to summarise, text you type.

It remembers what you ask it to remember. If you tell it "remember that I am vegetarian" or "always answer in Russian", that is stored so it can be useful later. Ordinary conversation is not saved.

Your content is not used to train AI models. Not ours, not anyone else's.

To produce an answer, we may pass your request to AI providers we work with — currently Anthropic, OpenAI and Google. They process it to generate the reply and under our agreements do not use it for training. Their own terms apply to how they handle it in transit.

You do not have to use Tiim AI. Everything else in Tiim works without it.

4. Mail — one thing worth knowing

Incoming mail is automatically checked for spam and viruses before it reaches your inbox. This is done by software, not by people. It is how mail servers work everywhere, and it is why dangerous attachments do not land in your mailbox.

Nobody at Tiim reads your mail.

Google mailboxes. If you connect a Google (Gmail) mailbox, Tiim accesses it only with your permission, through Google's own authorization. We use this access only to show, sync, search, send and organise your mail in Tiim at your request. We do not sell Gmail data, do not use it for advertising and do not use it to train AI models. People at Tiim do not read it unless you ask us to, it is needed for security, or the law requires it. Tiim AI works with a Gmail message only when you give it that message in a request. You can revoke access at any time in your Google Account or by disconnecting the mailbox in Tiim.

Tiim's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy (https://developers.google.com/terms/api-services-user-data-policy), including the Limited Use requirements.

5. Meetings and recording

If you record a meeting or turn on transcription, we store the audio, video, transcript and any summary produced from it.

Tell the other participants before you record. In many countries recording without everyone's knowledge is illegal, and that responsibility is yours, not ours.

6. Why we process your data

To create and run your account. To sign you in. To deliver your messages, calls, meetings and mail. To show Moments to the people you chose. To find your contacts. To run scheduling and Office where enabled. To answer your AI requests. To send notifications. To keep accounts secure and stop fraud and abuse. To fix things when they break. To meet legal obligations. To answer your support requests.

Depending on the situation, we rely on: performing our agreement with you, your consent, our legitimate interests, or a legal obligation. Where we rely on consent, you can withdraw it.

7. Who sees your data

Other users. Whatever the feature requires — your profile, your messages to them, Moments you published to them. What they see depends on your privacy settings.

Service providers. Hosting, notifications, communications infrastructure, security, diagnostics, AI providers. They may use the data only to provide that service to us.

Services you connect. If you link an external mailbox or sign in with Google or Apple, we exchange with them what is needed to make it work.

Authorities. If the law requires it, or to investigate fraud, abuse or a security incident, or to protect someone from harm.

A future owner. If the business is sold, merged or restructured, data moves with it.

We do not sell your data to anyone.

8. Where your data is stored

On servers in Germany and Finland, operated by Hetzner Online GmbH.

This means your data may leave the country you live in. Some countries require their citizens' data to be stored locally, and we currently do not do that. If that matters to you, take it into account before using Tiim.

Where the law requires safeguards for moving data across borders, we apply them.

9. How long we keep it

Messages, mail, files and Moments — until you delete them.

Your account — while it exists.

Deleted account — 30 days, then erased. Those 30 days are so you can change your mind.

Backups — up to 30 days. Something you delete today can survive in a backup for up to a month before it is overwritten.

Security and diagnostic logs — up to 12 months.

We may keep some data longer where the law requires it or where we need it to resolve a dispute.

10. Deleting your account

You can request deletion from the app.

After 30 days your account and its content are erased. Some things survive: messages you sent to other people stay in their chats, and anything the law requires us to keep.

11. Your rights

You can ask us to show you your data, correct it, delete it, stop or limit how we use it, give you a copy to take elsewhere, or withdraw your consent. You can also complain to a data protection authority.

We will check who you are before acting on a request about a specific account. Some rights have legal limits.

Write to us through support in the app, on tiim.me, or by email at support@tiim.me.

12. Security

We protect your data with technical and organisational measures: encryption in transit, access controls, monitoring, regular backups.

No system is perfectly secure. Protect your device, your password and your sign-in methods.

If a breach happens that puts your data at risk, we will notify the relevant authority and, where the law requires it, you.

13. Device permissions

Depending on what you use, Tiim may ask for contacts, camera, microphone, photos, files, notifications, calendar, Bluetooth and biometric unlock.

You can change these in your device settings. Some features will not work without them.

14. Cookies

On the web we use cookies and local storage for sign-in, sessions, security and preferences. Where the law requires consent for anything beyond the essentials, we ask first.

15. Age

You may use Tiim only if you can legally agree to the Terms of Use where you live. If your country requires a parent's permission, get it first.

16. Changes

We may update this policy as Tiim changes. If a change matters, we will tell you in the app or on tiim.me. The date at the top shows the current version.
